Terms and Conditions – Arctic Quest

Welcome

At Arctic Quest, we aim to offer experiences that leave a lasting impression – authentic, Northern Norwegian adventures you’ll carry with you. We go the extra mile to ensure our tours meet, and preferably exceed, your expectations.

Our activities are deeply rooted in nature and the Arctic environment, which means they are flexible and subject to weather and local conditions. Therefore, we cannot guarantee sightings of wildlife such as fish, birds, whales, or other species – nor natural phenomena like the midnight sun, full moon, or northern lights. Such moments require clear skies and a little touch of Northern Norwegian luck.

Booking

We only accept advance bookings.

Drop-ins or on-site bookings are not possible. This ensures quality, safety, and that we have the necessary staff available for each activity.

Sea activities: Minimum age is 7 years and minimum height is 120 cm.

Land-based activities: For children under 7, guardians must contact us in advance to determine whether participation is possible, based on the activity content and safety assessment.

Prices and Payment

All prices are per person and listed in Norwegian Kroner (NOK), including VAT and applicable fees.

Special clothing and necessary equipment are included – see the description for each activity.

Children under 12 receive a 40% discount. Arctic Quest reserves the right to change prices without notice. This does not affect already paid bookings. For online bookings, full payment is due at the time of booking.

We strongly recommend all guests have valid travel insurance that covers cancellations and unforeseen events.

Cancellations – Individual and Group

Individual bookings:

Cancellation at least 28 days before the activity: 100% refund. Cancellation less than 28 days before: no refund. No-show: no refund.

Group/Charter bookings:

Full payment is due no later than 28 days before the activity. Cancellation less than 28 days before: no refund.

Cancellations by Arctic Quest

We reserve the right to cancel an activity if it cannot be safely or practically carried out. Reasons may include:

Too few participants

Unexpected technical issues, overbooking, or system failures

Adverse weather or sea conditions affecting safety

Equipment damage, staff illness, or other critical operational issues

Force majeure – events beyond our control, such as extreme weather, natural disasters, road closures, or government-imposed restrictions

If we cancel, we will always try to offer an alternative – such as a different time, date, destination, or activity.

If no alternative suits you, you will receive a full refund – unless the cancellation is due to force majeure. In such cases, no refund will be given.

We do not cover any other expenses you may have incurred related to the trip, such as transport, accommodation, flights, or personal equipment.

Your Responsibility

As a participant, you are expected to contribute to a safe, inclusive, and positive experience – for yourself and others.

Choose activities suitable for your physical condition and interests.

Take responsibility for assessing your health and fitness.

Arrive at the agreed time and place. Account for travel and logistics, especially in rural areas where weather and transport can affect accessibility.

Bring appropriate clothing and gear for the Arctic climate. If your clothing or equipment is insufficient for safe participation, we may have to deny you access to the activity.

Show respect toward guides, other participants, and local communities. A respectful and inclusive attitude is expected.

The use of intoxicants or violation of Norwegian law is not tolerated. We reserve the right to remove any participant who is intoxicated or behaves inappropriately.

You are responsible for your personal belongings. We’re happy to assist if something is lost but accept no financial liability.

Health and Medication

Have you had recent surgery, serious illness, or use medication that could be critical during the activity? Please inform us beforehand.

Sea activities: Let us know if you are pregnant or have neck/back issues before the tour begins.

We may deny participation if the activity is deemed too demanding – in such cases, you will receive a full refund.

Privacy

To carry out our activities safely and responsibly, we must collect some personal information from you. This includes your name, date of birth, gender, nationality, and any allergies or medical considerations relevant to the activity.

This information is used solely to:

Ensure accurate booking and communication

Secure your safety and comfort

Fulfill documentation requirements for certain activities

Your information is stored securely, never shared with unauthorized parties, and handled in accordance with current data protection laws (GDPR). We retain it only as long as necessary.

If you do not consent to us handling this information, we may have to decline your booking.

Photography and Marketing

Photos and videos are often taken during our activities, either by our crew or by participants. Some of these may be used by Arctic Quest in marketing, on websites, social media, or other promotional material.

By joining our activities, you consent to the use of images where you may appear – without compensation.

If you do not wish to be photographed or featured in marketing, please inform us clearly before the activity. We will, of course, respect your wishes fully.

Limitation of Liability

Participation in Arctic Quest activities is at your own risk.

We always strive to provide safe and responsible experiences, but we accept no liability for personal injury, illness, accidents, loss, or damage – unless caused by gross negligence on our part.

Arctic Quest disclaims responsibility for matters beyond our control, including:

Participants’ own choices, actions, or omissions Lack of physical or medical fitness Incorrect use of equipment or failure to follow safety instructions Weather conditions, nature-related issues, or third-party actions

Guests causing damage to equipment, delays, or financial loss to Arctic Quest or other participants may be held financially liable.

By participating, you agree to waive any claims, compensation, or disputes arising from your involvement – except in cases of gross negligence by Arctic Quest.

Force Majeure

We are not liable for delays or disruptions caused by factors beyond our control, such as:

Natural disasters, illness, or food poisoning Emergencies (at sea, on roads, or in the field) Equipment damage, theft, or technical failures Strikes, weather conditions, political events, or restrictions

Such events do not entitle you to compensation or refunds.

By making payment, you accept our terms and conditions.
